General Terms and Conditions

King Hamad Youth Empowerment Award

The General Terms and Conditions apply to all nominees that are submitting official nominations for the King Hamad Youth Empowerment Award across all four categories: Government Sector, Non-profit or International Organizations, Private Sector and Individual.

1. Submission of nomination

  • a. Submission is free to all nominees
  • b. All nominations to be considered for the award must be submitted through the official online platform for the King Hamad Youth Empowerment Award: www.kinghamadaward.com
  • c. All nominations must be submitted in English in order to be evaluated by the Juror Panel and considered in the award process

2. Criteria for Evaluation

  • a. All nominations will be evaluated according to the criteria that the Ministry of Youth and Sports Affairs in the Kingdom of Bahrain (MYS) and the United Nations Development Programme (UNDP) have agreed upon for each award category. The general criteria for each category can be found at:

  • b. Please note:
    • i. Government Sector nominees must be a ministry or authority that reports to the government
    • ii. Non-profit or International Organization nominees must be a certified non-profit organization
    • iii. Private Sector nominees must be a certified, for-profit company
    • iv. Individual nominees must be a youth age 15 to 30

3. Evaluation Terms

  • a. The evaluation is blind for jurors, meaning that jurors cannot know the identity of the nominees that they are evaluating. This system is in place in order to maximize juror objectivity and minimize bias in the evaluation process. nominees that include the organization or individual name within nominations are immediately disqualified
  • b. Two jurors will evaluate each nomination and the nominee’s final score will be the average of the two juror scores. This system is in place in order to ensure the most fair and objective scoring possible for each candidate. All nominees are subject to the two-juror evaluation rule
  • c. The evaluation phase will be facilitated by an official Juror Panel and will last for multiple weeks, concluding by November 30, 2017

4. Rejection of nominations

  • a. All nominations will be initially vetted according to required pre-vetting criteria. Failure to meet all required pre-vetting criteria will result in disqualification. All nominees must:
    • i. Fill out nominations for the correct award type
    • ii. Be from a nation with official UN representation
    • iii. Exclude the name of the individual or organization in the written sections of the nomination
    • iv. Demonstrate significant support toward achieving at least three Sustainable Development Goal (SDG) targets within at least one SDG goal
    • v. Have a track record of national and/or international awards
    • vi. Ensure all required statements of support must be received by the designated deadline
    • vii. Demonstrate some growth in total program reach of youth beneficiaries over the last three years
  • In addition, all applying organizations and entities must:
    • i. Have been in operation for at least three years
    • ii. Provide valid documentation of registration
    • iii. Have programs that target youth. Youth are defined in Bahrain as those ages 15-30
    • iv. Have representation of youth making up a portion of their leadership and staff
    • v. Have a portion of their funding designated to youth programs
  • Applying individuals must:
    • i. Be at least 15 years old and no more than 30 years old
    • ii. Provide valid documentation of his or her birthdate and nationality
    • iii. Demonstrate a track record of participation in youth societies or associations
    • iv. Demonstrate some track record of voluntary work
  • Changes to Juror Panel Personnel
    • i. In the event that a Juror Panel member is unable to fulfill his or her duties during the evaluation period, a replacement may be utilized to maintain the evaluation process. Any nominations whose evaluation are not completed by a former juror will be re-evaluated in full, following the same process and to the same extent as previously evaluated nominations.
  • b. Once nominations go through the initial vetting process for required criteria, disqualified nominations will be informed via email that their nominations will not be moving forward

5. Withdrawals and Modifications of nominations

  • a. There will be no withdrawals or modifications of nominations that have already been sent and received through the online nomination platform
  • b. In the event that an nominee’s nomination does not contain valid “proof of registration” or “proof of identity” documents that are required for each award type, the nominee will be followed up with in order to provide sufficient documentation. This will be the only allowed modification throughout the evaluation process. If the nominee is unable to provide valid “proof of registration” or “proof of identity” documents in a timely manner after such a follow-up the nominee will be disqualified

6. Errors in nominations

  • a. nominees are expected to closely examine their nominations in full, ensuring the accuracy of all writing and content that has been submitted. nominees will be held accountable for errors included in nominations, and critical errors may be reflected in the nominee’s final score
  • b. The Juror Panel understands that many nominations may have been translated into English from another language, which may leave room for minor translation errors. This particular challenge will be considered as fairly as possible by the Juror Panel during evaluation

7. Fraudulent Information on nominations

  • a. In the event that an nominee or one of their references deliberately misleads the Juror Panel by including false information in any submitted forms or documents the nominee will be immediately disqualified. Should the inclusion of deliberately false information be discovered after an award has been granted, that nominee immediately forfeits their right to the award funds and is liable to return the funds in full

8. Confidentiality

  • a. All nominees submit that the information included within the nomination is subject to review and evaluation by any and all King Hamad Youth Empowerment Award staff
  • b. nominations and their contents will not be published publicly, but will be stored as official, digital documents and archived. All staff involved in the King Hamad Youth Empowerment Award will have open, ongoing access to nominations

9. Rights to Information

  • a. Data collection and evaluation on certain details of the nominations will be done by the King Hamad Youth Empowerment Award team in order to better understand the needs and capabilities of the nomination platform. nominee data may be used freely for internal purposes to inform any technical or content changes to future versions of the award nomination and criteria. By submitting an nomination or statement of support, all nominees and referrals agree to the use of their nomination data in this process

10. Changes to Award Process

  • a. Changes to nomination
    • i. During the time that the award process is open, it is possible that issues with either technical or content-specific areas of the nomination will arise that require members of the King Hamad Youth Empowerment Award team to change certain elements of the nomination. In the event of any technical or content changes are made, nominees that have already submitted their nominations using the previous version of the nomination will NOT be penalized in any way, and will be evaluated as fairly as possible by the Juror Panel
  • b. Changes to Juror Panel Personnel
    • i. In the event that a Juror Panel member is unable to fulfill his or her duties during the evaluation period, a replacement may be utilized to maintain the evaluation process. Any nominations whose evaluation are not completed by a former juror will be re-evaluated in full, following the same process and to the same extent as previously evaluated nominations.
  • c. Changes to General Terms and Conditions
    • i. Circumstances may be result in this document, the King Hamad Youth Empowerment Award General Terms and Conditions needing to be revised. In the event that the document is revised, the date of its latest revision will be posted at the end of the document

11. Award Terms

  • a. The four award winners will be informed of their selection by November 30, 2017
  • b. The King Hamad Youth Empowerment Award in both the Individual and Non-profit or International Organization category is worth $25,000, to be submitted as a one-time grant in full at the awarding ceremony.
  • c. The four winners of the King Hamad Youth Award will be invited to attend the 2018 ECOSOC Youth Forum, where the awards presentation will take place
  • d. The UNDP will assist all winners in acquiring the necessary travel documents and information in order to attend the ECOSOC Youth Forum. Economy-class flights and accommodation will be paid by MYS for each of the four winners.
  • e. All winners agree to willingly participate in media briefings and statements that MYS or the UNDP may require as follow-up to receipt of the award
